Midterm Task: Write a 1-2 page informational memo that provides a description of one “artifact” specific to your current or future job field and explains one process that uses this artifact. You will be presenting this information to a non-technical audience using the scenario below.

Scenario: Your current employer (factual or fictional) has asked you to write a short informational memo about an “artifact” you use as a part of your job that will be distributed to all the employees of your company or organization. This task is meant to provide all employees with a greater understanding of the work the organization does and offer new employees valuable training information.  This memo should include a technical description of the artifact and an explanation of a specific process that uses the artifact. It should be assumed that your audience is non-technical (see “Chapter 2: Meeting the Needs of Specific Audiences” in your textbook).

The following questions are meant to help prepare you for the midterm exam. To complete your plan sheet, copy and paste the questions below into a word processing document and submit that document for review using the link above. Take the time to format your document into correct memo format. This will ensure you have all the format requirements for your midterm exam document.

Questions to Address:

  1. Provide a basic description of the company or organization you plan to use for this assignment (either factual or fictional).
  2. List as many potential “artifacts” that you can think of related to your current or future job fields.
  3. Pick one of these artifacts and write a quick paragraph description.
  4. Specific to the audience described in question number one, provide a general description of the process that would use this artifact. (As was explained earlier, Blackboard could be considered an artifact specific to teaching at NVCC. Outlining the method used for grading exams on Blackboard would be an example of a process this artifact was used in completing.)
  5. What are the main steps of the process that uses this artifact?
  6. What would your defined audience need to know in order to understand your explanation?
  7. Why is this process important to this audience?
  8. What are your sources of information (print and/or oral or personal experience)?
  9. Are there any visuals that you could use to better illustrate your points?
While you are not required specifically to use a visual for this assignment, I would encourage you to include visuals on your planning sheet that might help you explain your “artifact.” This can be a table or chart you have found while reading, a simple flow chart to help your audience follow your discussion of a process, or a simple picture of the object. While Blackboard will not let you actually upload this image as part of your exam, you can indicate where it should be placed within your discussion by including a reference to the image in the text of your document and including a figure caption and short title.

* As a reminder, see Chapter 12: Designing Visual Information and Chapter 13: Designing Pages and Documents in your textbook for more information on the use of visuals, layout, document design, etc. Ensure you utilize the formatting and content skills we have been working on in the course up to this point.

Remember: While this assignment is not graded, your midterm will not be accepted without this supporting document. This, along with your chosen visual, is the only thing you are allowed to take with you into the testing center.

You must wait for my approval before taking the exam. If I do not approve your plan sheet in advance, I will not accept your exam. You may need to do the plan sheet more than once if there are problems. This process will provide you all the assistance you need to produce an excellent exam. Consequently, allow yourself enough time for turnaround and possible corrections on the plan sheet before taking the exam.
